Many businesses hold corporate days/weeks for key clients, prospective customers and valued employees. These days are often used as a way to inform clients about the company along with its products/services, secure new business, generate leads or to award super fantastic employees. So it makes sense to make all your attendees feel special – without them there would be no event.

Whether you are aiming to generate new business or simply inform, treating everyone as VIPs will go a long way.

It’s the small things that make a huge difference to your attendees. Thoughtful gestures that people remember will bring them back to your event next time.  Check out the below tips to make your delegates feel valued.

Event invitation

Try to make the invite as personal as possible. For key customers you may wish to personally visit or phone them to make them feel special and increase the chances of them accepting. 

Address your delegates by name  

You don’t need to remember all 500 attendee’s names. With guest lists and name badges, there’s no need to memorise anything. Encourage your team to use delegates’ names when interacting with them. Make a person feel like a person, not like another attendee to be dealt with. It makes a huge difference and it’s easy to do.

Treat everyone like a VIP 

Each guest needs to feel cared for and valued. While different tiers of delegates may have access to different things, no-one should feel short-changed when it comes to being welcomed and catered for - all staff need to be there 100% for their guests.

Be prepared for unusual requests 

Despite your best-laid plans, there will often be things you simply can’t be prepared for! Those unusual or last-minute requests can be stress-inducing, but don’t panic. Half the battle is showing that you’re willing to help, and making every possible effort within reason to deliver. Sometimes you simply won’t be able to meet the request, but being seen to do your best really does count for a lot.

Add a special touch

A massage hits the spot and gives a burst of energy whilst feeling divine - surprise your delegates with a 5-minute massage throughout the day.

Give them a gift 

Who doesn't like presents?  Your delegates should come away from your event with more than a hotel note pad and a packet of mints. Give them something they will use. For example, if you've invited journalists, give them a USB stick loaded with information and images of the event. This will make their jobs easier.

Good bye

Customers' last impressions are nearly as important as their first. So send them home happy. 

Organisation needs to be as tight at the end of the day as it was the moment your attendees walked through the door. And don’t forget, when all is finished after a day or two, send each guest a note thanking them for attending.
