Whether you’re a professional event planner or just got stuck planning your work Christmas party, knowing how to plan an event can be a tricky endeavour.

From the idea to location, atmosphere and entertainment, the perfect event takes a lot of planning and effort. So to pull it off seamlessly here is a 10 step full proof plan.

1. Conceptualise your big idea. Come up with a theme for your event.

2. Set a budget. Figure out how much you want or can spend on entertainment, food, venue, invitations and allow for sundry expenses. That way you won’t run the risk over going over budget.

3. Get your smartphone (every event planner has one) and start making appointments to view locations and meet the vendors.

4. Once you found the perfect venue – sign the contract. Lock it in and make sure your vendor provides you with a copy.

5. Purchase your decorations for your themed event. Whether it’s themed or not you have to do something, be it flowers on tables or an ice sculpture of a unicorn. You have to dress the room.

6. Design and send out invitations. As much as I love receiving an invite in the post, these days it’s all electronic.

7. Make a to-do list. There is always something to do so it’s best to stay on top of all those annoying little last minute jobs.

8. Check and double check, in fact triple check.

9. Get yourself and errand boy…or girl.  You need to stay at the venue come event day to organise. Send errand boy out to pick up any additional items.

10. And lastly at the end of the night, have a great big glass of wine. You did it and hopefully did it well.
