5 things all Event Planners hate hearing

Event Planners do a lot of stuff for other people, and spend most of their time listening to the needs and desires of others. They are so tuned in to their staff and attendees, they could basically run the whole show by themselves. The reality is of course they can’t, and need their staff, kind of like a mother, baby, midwife situation – they could do it by themselves, but it makes more sense to have the help of others.

They are just so dam busy all the time they don’t really want to hear everything, they don’t always want to hear the good, the bad and especially when the shite is about to hit the fan.

Usually everyone works together to make the event a success but on the odd occasion it can go south. Event Planners get to hear and see many crazy and exciting things, but there are a few things I think we can all agree that Event Planners hate hearing….

1. Someone didn’t turn up

When organising an event, everyone is important. The guest speakers, VIP guests, staff members and important vendors such as transportation or caterers. Every event has important people that play an important part in order the for event to be a success. So when someone is a no-show it can really piss the Event Planner off, not to mention puts tremendous stress on them to think under pressure and come up with a back-up plan, generally in one to two hours.

2. Something… is non-negotiable

The art of negotiation is paramount when it comes to making deals in organising events. When the Event Planner reads a contract that states something is non-negotiable it is a huge set back in the planning process – the ability to make a profit can revolve around negotiating. Most vendors, entertainment, VIP’s are easy to negotiate with, however once terms have been agreed upon, there is not much hope for negotiating.

3. Someone is sick

It can happen, and every Event Planner dreads the thought of it, but in some cases a serious situation does come up which involves the safety and well-being of everyone. As an Event Planner you have to be prepared for anything, and have a response plan. How your respond to the situation will set you apart in the industry.

4. Someone… has changed their mind

It happens all the time in the events industry, clients and vendors have trouble making decisions, and often change their mind at the last minute. This is super annoying for everyone and causes a potential malfunction of the brain for the Event Planner. However as event professionals we know this type of situation does happen, and we try to keep a cool head and not malfunction. We do our best to please the client, and always have a positive attitude.

5. The weather has changed

Oh, the bloody weather! The one thing we can’t control. A good Event Planner will plan for the worst and hope for the best, but don’t ever say to us, “have you seen the forecast for today”? That instantly screams bad news! If you are having an outdoor event, be prepared for every possible situation. You never know when something will pop up or pour down, and ensuring the safety of your staff and attendees is your first concern.
